Operator
Gazebo user admins at the venue have access to the Operator Dashboard, which is packed with helpful tools! It offers everything from custom proposals, contracts, and invoicing to housing, meals, and activity planning. Plus, you can manage payment processing and much more—all in one place to keep things running smoothly.
Organizer
The Organizer Portal is designed for the customer hosting an event at your venue. It provides them with a variety of handy features, including automated reminders, digital contracts, document uploads, and online payment options. Plus, they can easily manage their group with their own dedicated organizer portal!
Rental
As an Operator, you rent all or part of your facilities to an Organizer, and you might also manage some on-site aspects of the event. You can choose to track attendance if needed, and the Organizer handles the full rental payment.
Examples Include:
Wedding: The Operator rents the venue to the Organizer and might also take care of meals, housing, and vendor referrals (though vendor referrals aren’t supported in the system just yet).
Family Reunion: The Operator rents the space to the Organizer and may manage meals, activities, and housing to make it a seamless experience!
Event
In this case, the Operator is both the host and the Organizer, running the entire event—like a conference—on their property. The Operator manages everything, including registration. Attendees sign up and pay for the event themselves, making it a smooth, all-in-one process!

Booking Terms
There are four terms used in Gazebo that are associated with the people who request a booking: Groups, Organizations, Individuals, and Customers.
Groups | A collection of people using your Venue at a specific time. A Group can be associated with an Organization (e.g., a corporate retreat), or an Individual (e.g., a wedding or family reunion). Bookings for rentals and events are associated with a Group name. |
Organizations | These are companies, institutions, or groups connected to booking or running rentals and events, like church groups, schools, or vendors. |
Individuals | These are people connected to one or more organizations and are often the main contact for a group rental or event.
Individuals can be assigned a Contact Tag (like "Primary Contact" or "Financial Contact") to help the Operator know what kind of communication or email is best to send them. |
Customers | Customers are either individuals or organizations who receive invoices and make payments for a booking. |
